Common questions & concerns

Will my mail actually land in the inbox?

Yes. The admin panel generates DKIM, SPF, and DMARC records with copy-paste values for your DNS provider, and outbound mail is signed automatically. A built-in deliverability score checks authentication, reverse DNS, and blocklists so you know you're inbox-ready before go-live.

Is this a full Google Workspace or Microsoft 365 replacement?

No — Polozhevets replaces business email (SMTP, IMAP, webmail), not the whole suite. Many teams keep a lighter docs or calendar tool and still cut the per-seat mail bill while owning their mailboxes.

We also need Docs, Drive, Meet, or Calendar — what then?

Keep the collaboration tools you need (or switch to lighter alternatives) and run mail on Polozhevets. You are not forced into an all-or-nothing cutover; owning email is the part that removes the rising mailbox meter and puts data residency under your control.

How do we move years of existing mail?

Mailboxes move with standard IMAP tools and clients. We guide the switch as part of onboarding and support — you are not left alone with years of history. Ask when you contact us if you want help planning the cutover.

Can I keep using Apple Mail, Outlook, or Thunderbird?

Absolutely. Polozhevets speaks standard SMTP and IMAP, so any mail client connects the same way it would to any provider. There's also a built-in webmail client with signatures and vacation autoresponders.

How does pricing work?

You pay once for a license sized to your mailbox count. The first year of support and updates is included. After that, renew support yearly if you want continued updates and help — or keep running the version you have. There are never per-user fees.

What if I don't renew support after year one?

Your license stays valid and the server keeps running. You simply stop receiving new product updates and email support until you renew. Renewing is a simple yearly subscription matched to your plan.

What if something breaks, or our IT person leaves?

Year one of support and updates is included with every license. After that you can renew yearly support. We also help free of charge with choosing and setting up a VPS for your location so day-one operations are not a mystery.

What if your company disappears?

Your mail and accounts live on your server, not ours. The product speaks standard SMTP and IMAP, so you keep running and can move to another stack later if you ever need to. You are not renting a black-box inbox you cannot export.

What about backups and disaster recovery?

Mail and attachments persist on the storage you attach to your server. Use your VPS provider's snapshots or backup product for disaster recovery — we help you pick a host that offers that when you ask for free setup assistance.

How is it secured?

Connections are encrypted with TLS using auto-renewing certificates. Logins are rate-limited. Inbound mail runs through spam filtering, RBL checks, SPF/DKIM verification, and phishing detection. Security headers and careful key storage are built into the stack.

Where is my data stored?

Entirely on the server you deploy to — mail, attachments, and accounts never leave your infrastructure. You choose the host and the jurisdiction, which keeps your GDPR and confidentiality story simple.

Will providers block our IP or put us on spam lists?

Deliverability needs a proper VPS with a clean IP and reverse DNS — not a residential connection. The deliverability score checks authentication, PTR, and blocklists before you go live. We help you choose a suitable host for your location free of charge upon request.

Why not just use free open-source mail software?

You can — if you want to assemble, harden, and operate it yourself. Polozhevets is a commercial product: polished webmail and admin, a built-in deliverability score, and human help for purchase and setup. You pay once for the license, not for endless DIY weekends.

How long does setup take?

Deployment is a single command on any Linux VPS (ARM64 or x86), and TLS certificates are issued and renewed automatically. Most of the elapsed time is DNS propagation after you paste in the records the admin panel generates for you.

What happens if I outgrow my plan?

Move up a tier for more mailboxes or domains — there's no mailbox data move required for a license upgrade, just a plan change. Enterprise is available for multiple instances and SLAs.

Do I need to be a mail-server expert?

No. The defaults are production-ready and the admin panel walks you through users, aliases, DNS, and deliverability. You need a server, a domain, and DNS access — and we can help you get the first deployment right during your included support year.
